Registration Specialist – Design Core Detroit

POSITION DESCRIPTION

The Registration Specialist reports to the Registrar and Director of Academic Advising.  This position is responsible for academic processes directed by the Registrar related to the academic records of students.  Data entry includes, but not limited to, Grade changes, Incompletes, Minor declarations, Change of Majors, Audits, and transfer credits.  Also responsible for end of the semester processing of probation and suspension.  In addition, the individual will provide advising support under the supervision of the Director of Academic Advising.

The Registration Specialist is expected to maintain a professional environment that promotes accuracy, efficiency, and strive continuously for professional excellence within our advising and registration team.

POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS

  • Assist with new student file processes and reports
  • Place High School transcript holds for all incoming students and process all Final High School transcripts and enter UIC codes if available
  • Process curriculum change (course substitutions) requests and send notification of changes to student/dept.
  • Ensure accuracy of grading each semester for Midterm and Final Grade submissions in colleague; send grading reminders and deadline notifications to faculty and all academic departments; prepare midterm/final grade report for AARO staff and Student Success Center as required.
  • Process probation/suspension reports and code students in colleague; send notifications to students/departments/advisors of student’s probation/suspension status. 
  • Monitor incomplete grades; send reminders to students/faculty. 
  • Process all grade changes, including incomplete grades.
  • Update advisor assignments for new and current students in colleague
  • Assist with graduation/commencement preparation.
  • Work college events such as graduation, open house sessions and new student orientation.
  • Provide general office assistance when needed (i.e., registration/adds/drops, advising/registration information, provide good customer service/phone assistance to visitors/guests/faculty/staff).
  • Work cooperatively across campus with staff, program managers, department chairs and faculty.
  • Assume additional responsibilities (as assigned by the Registrar and Director of Academic Advising) related to registration, records, specialized advising support, reporting, data entry, and other areas that support a growing working environment.
  • Process current student transfer credit as well as new incoming students
  • Process change of Majors, catalog years, minors, art education declarations
  • Process Internships and independent studies and placement of credit
  • New student withdrawal prior to the start of the semester 
  • Assist with processing registration permissions

 

SKILLS AND QUALIFICATIONS 

  • Excellent communication skills. Both written an oral.  Ability to communicate effectively with a diverse range of people and situations, to establish and maintain effective working relationships.
  • Bachelor’s degree required in a related area.
  • 3-5 years of relevant office experience
  • Proficiency desired in Microsoft Office including Word, Excel and knowledge of Colleague and Image Now, systems a plus.  
  • Willingness to work effectively as a team member, working collaboratively with other departments. 
  • Strong attention to details and problem-solving skills.

 

WORK ENVIRONMENT

This job operates in a professional office and college campus environment.  The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.

While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
