Admissions Ambassadors and Events Coordinator

POSITION DESCRIPTION

The Admissions Ambassadors and Events Coordinator will work very closely with the Admissions Events Manager and will support the Admissions team in the planning, scheduling, implementation and reporting of on-and-off-campus recruitment, admissions and Scholastic Art Award events. The coordinator will also manage the Admissions Ambassador program, including hiring, scheduling, training and supervising the team of student workers who do tours, data entry and outreach campaigns. Some evening and weekend hours are required.

POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS

  • Manage the Admissions Ambassador program, includes hiring, training, scheduling and overall guidance;
  • Plan and oversee daily campus tours- individual, group and specialized tours- which includes; communications with guests, scheduling and event tracking within CRM system, Admissions Ambassador participation and occasional coordination with programs or other CCS Offices;
  • Collaborate with Admissions Counselors and Leadership to create and maintain documentation and materials related to Admissions Ambassador tasks;
  • Participate in the development and implementation of admissions related events and recruitment activities;
  • Manage Admitted Student Events/Activities- On-and-Off-Campus, including virtual;
  • Create, schedule and maintain events within Admissions and CCS Systems- including CRM, Gmail Calendars, Calendly and institutional website;
  • Manage Admissions Events related data in CRM and/or GoogleSuite- RSVP lists, post attendance information, surveys, etc.;
  • Assist with preparation and processing of payment requests for on-and-off-campus events;
  • Coordinate communications surrounding events through the Marketing Communications Specialist;
  • Work with Marketing and Communications Team and the Marketing Communications Specialist to create signage and programs/agendas related to events/activities;
  • Support review of Admissions Events related web pages and CRM, forms and general documentation to identify necessary updates and submit changes, as requested by team leaders;
  • Provide support for the Scholastic Art & Writing Awards program;
  • Assist Admissions Counselors and Leadership with RSVPs for in and out-of-state College fairs, Portfolio Days and other recruitment activities, as needed;
  • Maintain and track inventory of event-related equipment, publications and supplies;
  • Assist with coordinating new Admissions publications delivery;
  • Attend and support all CCS on-site and off-site Admissions events;
  • Participate in recruitment activities and events, as needed;
  • Assist Director of Operations and Admissions Coordinator with overall management of swag- inventory, storage, requests and distribution;
  • Give tours to students and parents if no Admissions Counselors or Admissions Ambassadors are available;
  • Assist Admissions Team with day-to-day responsibilities as needed; including general front desk support, communications, file processing and special project assignments;
  • Serve as troubleshooter for Admissions related events and activities;
  • Perform additional duties as required.

QUALIFICATIONS AND EXPERIENCE

  • Experience working in supporting event;
  • Exceptional customer service skills;
  • Excellent speaking, writing and communication skills;
  • Nimble when working across digital tools and processes including email, phone, student database, data-entry, Microsoft Word, Excel, AdobeAcrobat, etc.;
  • Ability to manage and prioritize large volumes of information and competing activities;
  • Strong ability to make informed decisions within stated guidelines;
  • Team player who is detail-oriented, has strong listening skills, and an ability to get people the information they need in a timely and kind manner;
  • Experience with art/design a plus;
  • Experience in a higher education environment a plus.

 

WORK ENVIRONMENT

This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.


PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to maintain a stationary position, use a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with others, including staff, faculty, students and third parties is required. The employee may occasionally be required to move files or other objects weighing up to 25 pounds, including from low and high places. The ability to move around within the office and between buildings on campus, attend off-site meetings and events, and travel between Ford Campus site to Taubman Center site are required.
